What Is an AI Receptionist? How It Works

Mohammad Al Houssin, Founder · October 31, 2026 · 3 min read

An AI receptionist is software that answers your business phone calls for you. It picks up every call, talks to the caller in natural language, answers routine questions, books appointments and passes urgent or complicated calls to a person on your team.

It does the job a front-desk receptionist does on the phone, but it is available around the clock and can take many calls at the same time.

How does an AI receptionist work?

A call to your business number is forwarded to the AI receptionist. From the caller's point of view, they ring your usual number and someone answers.

The AI then does four things:

  1. Greets the caller and finds out why they are calling.
  2. Answers questions about your business, such as opening hours, services and location, using information you have given it.
  3. Takes action, for example booking an appointment in your calendar or recording the caller's details.
  4. Hands over to your team when a call is urgent or when it does not know the answer.

With nucally, you keep your existing phone number. We simply forward your line, so there is nothing to port and nothing to install.

What can an AI receptionist do?

  • Answer every call, day and night, including weekends and holidays.
  • Handle several calls at once, so callers never get a busy signal.
  • Speak the caller's language. nucally answers in 70+ languages.
  • Book appointments in the calendars, CRMs and booking tools you already use.
  • Answer common questions about your business.
  • Qualify new enquiries and pass the details to your team.
  • Transfer urgent calls to your team with the context already collected.

What an AI receptionist should not do

A good AI receptionist knows its limits. If it does not know an answer, it should say so and hand the call to a person, instead of guessing. nucally is built to do exactly that.

An AI receptionist is also not a replacement for your judgement on sensitive matters. Its job is to make sure no call goes unanswered and the right calls reach the right person quickly.
